Senior Tendering Specialist - Software

Job Description

  • Lead the tendering process from start to finish, ensuring timely and accurate completion of all tender submissions.
  • Conduct thorough market research to identify potential opportunities and gather relevant information for tender preparation.
  • Collaborate with cross-functional teams, including operations, finance, legal, and technical departments, to gather necessary inputs for tender submissions.
  • Analyze client requirements, project specifications, and contractual terms to develop tailored and commercially viable proposals.
  • Prepare detailed cost estimates, budgets, and pricing models.
  • Liaise with clients, suppliers, and subcontractors to obtain clarifications, negotiate terms, and gather necessary documentation.
  • Maintain accurate records of all tendering activities, including documentation, correspondence, and submission timelines.

Responsibilities

  • Strong understanding of commercial and contractual terms, with the ability to negotiate and mitigate risks effectively.
  • Strong organizational and time management skills, with the ability to manage multiple tender submissions simultaneously and meet deadlines.
  • Administer and manage bids, ensuring that all client RFP requirements have been addressed.
  • Administer and initiate bid kick-off meetings and determine the scope and timeline of new bids.
  • Review client documentation distribute to key stakeholders and produce comprehensive compliance matrices to maximize the chances of success.
  • Lead and coordinate the preparation of the bid ensuring that other contributors provide information on time to the correct standard answering the client's needs to ensure a winning bid response.
  • Review and revise documents prepared by others and coordinate the preparation of those materials in a completed bid document for review.
  • Take responsibility of submitting a completed bid on time, in an organized fashion and within budget.

Skills + Experience

  • Participate in other sales and marketing functions in a support capacity as required.
  • Attend meetings, including Pre-bid and tender openings.
  • Administer and supervise the submission of RFIs, BOQs and other related administration.
  • Demonstrated, advanced experience and understanding of bid and proposal process.
  • Demonstrate sensitivity, confidentiality when dealing with internal and external customers.
  • A forward planner with clear focus, well-organized, detail-oriented and able to multi-task.
  • Have a high sense of accuracy, attention for detail and with strong analytical ability.
  • A minimum of 5 years of proven experience in tendering and business development within software industry.
